Account and Business Information: When you create or manage an account, we may collect names, email addresses, telephone numbers, company names, business addresses, job titles, account credentials, team member information, subscription information, and account preferences.

Customer and Property Information: Users may provide customer names and contact information, property addresses, inspection information, property characteristics, project notes, roof information, insurance-related documentation, forms, and supporting documentation. Customers are responsible for ensuring they have appropriate rights and permissions to submit third-party information to ScanShield.

Photos, Videos, and Inspection Content: The Services may allow users to upload roof photographs, drone imagery, property photographs, videos, inspection notes, documents, forms, reports, and other project-related files. Where available, uploaded files or devices may contain metadata such as timestamps, device information, or geographic location information.

AI Analysis Data: ScanShield may process inspection content using artificial intelligence and other computational technologies to generate suspected damage detections, roof-condition observations, damage classifications, annotations, confidence indicators, roof scores, storm-related assessments, summaries, recommendations, reports, and other AI-assisted outputs.

Payment Information: Payments may be processed by third-party payment processors. ScanShield may receive limited transaction information such as subscription status, payment status, transaction identifiers, billing contact information, and limited card details made available by the payment provider. ScanShield does not necessarily store complete payment-card information directly.

Usage and Device Information: We may automatically collect IP address, browser, device type, operating system, pages viewed, features used, login activity, referring URLs, session information, error and diagnostic information, and usage patterns.

2. How We Use Information

We may use information to operate, secure, support, analyze, and improve the Services.

  • Provide and operate ScanShield; create and maintain user accounts; process inspections; analyze uploaded content; generate reports and AI-assisted findings.
  • Store and organize inspection documentation; provide Photo Vault functionality; process forms and electronic signatures; process subscriptions and payments.
  • Provide customer service; improve product functionality; develop new features; monitor platform performance; detect fraud or misuse; maintain security.
  • Communicate product updates and requested marketing communications; comply with legal obligations; enforce our agreements.
  • Where permitted, use aggregated, de-identified, or anonymized information to analyze performance, improve technology and AI capabilities, conduct research, and understand industry trends.

3. Artificial Intelligence

ScanShield uses artificial intelligence to assist roofing professionals in analyzing inspection information and identifying potential property or roofing conditions. AI-generated results may contain errors, omissions, false positives, or false negatives. ScanShield technology is intended to assist qualified professionals—not replace professional judgment, physical inspections, engineering opinions, insurance determinations, or other appropriate professional evaluations. Users remain responsible for reviewing AI-generated findings before relying upon, distributing, or acting upon them.

4. Inspection and Property Data

Inspection information submitted to ScanShield may be stored as part of the user's account and associated with a property, project, or customer record. Depending on the features used, this may include photographs, documents, reports, forms, signatures, metadata, AI findings, and other inspection information. Users are responsible for ensuring they have authorization to collect, upload, store, process, and share this information.

5. How We Share Information

ScanShield does not sell personal information in exchange for money. We may disclose information to service providers and business partners that help us operate the Services, including providers of cloud hosting, data storage, artificial intelligence infrastructure, payment processing, email communications, analytics, security, customer support, and software infrastructure. These providers may access information only as necessary to perform services for ScanShield and subject to applicable contractual obligations. We may also disclose information when required by law, legal process, governmental requests, to protect our rights or users, investigate fraud or security incidents, or facilitate a merger, financing, acquisition, restructuring, or sale of all or part of our business.

6. Integrations

ScanShield may allow customers to connect the Services with CRMs, project-management systems, cloud-storage providers, APIs, and other third-party applications. When a user authorizes an integration, information may be exchanged between ScanShield and that service according to the user's instructions and the third party's privacy practices.

No online service or electronic storage system can guarantee absolute security. Users may unsubscribe from promotional email communications using the unsubscribe mechanism included in those messages. Operational communications concerning accounts, security, billing, or the Services may still be sent.

Text Messaging: Where you separately opt in, ScanShield may send text (SMS) messages to the mobile number you provide, concerning your enquiry, demo scheduling, onboarding, account activity, and product updates. Consent to receive text messages is not a condition of purchasing any product or service, and is never pre-selected on our forms. Message frequency varies and message and data rates may apply. You may reply STOP to any message to unsubscribe, or HELP for assistance. Mobile telephone numbers and text-messaging consent are not sold, rented, or shared with third parties for their own marketing purposes; they may be shared only with the service providers that deliver messages on our behalf, and only for that purpose.
